From paper notebook to a cloud daily log: 8 daily-record topics, AI that drafts and transcribes, multiple users with roles and access from any device.

Why the site log can’t stay in a notebook

The daily log is the project’s official memory: who was there, what was done, what arrived, what failed and what was agreed. When it lives in a paper notebook or a file someone updates “later”, details get lost, photos stay on one person’s phone and, the day a claim comes up, nobody finds the record that backs it.

The CoPres daily log moves that record to the cloud: each workday opens, fills up during the shift with typed entries and photos, and closes automatically at midnight in the job’s time zone. What was written can’t be edited: if something was wrong, a correction linked to the original entry is published, so the history stays trustworthy.

  • One open day per date and automatic close at midnight.
  • Immutable entries with author and time; corrections stay linked.
  • Photos, tags and signatures in the same record.
  • PDF report ready for meetings, inspectors or the client.

The 8 topics of the daily record

For a log to be useful, everyone must record the same things the same way. That’s why CoPres organizes each day into eight topics, based on the log formats contractors and inspectors use.

Daily site record

Each log day is organized into 8 topics: the team knows what to record and the report comes out ordered without rebuilding it.

TopicWhat gets recorded
1. General project details
Project name, project number, location, supervisor in charge and client or resident engineer. Set once, they head every day automatically.
2. Personnel on site
Crews present, contractors, hours worked and company or supplier—who was on site and for how long, tagged with workers and contractors from your Library.
3. Activities of the day
Description of each work front, processes carried out and areas finished or in progress. Tag the estimate activity and the entry shows up in its progress tracking.
4. Materials received or used
Quantities, units and notes on what arrived or was consumed, tagged with site materials and suppliers to cross-check against purchasing.
5. Photo evidence
Photos of work fronts, signage and visible progress: up to 10 images per entry, uploaded from the phone on the spot.
6. Incidents or special comments
Issues found, risks and client or supervisor remarks, time-stamped to back up decisions and claims.
7. Commitments and actions
Agreed action, owner, due date and follow-up: what was agreed on site is written down and has an owner.
8. Signature and approval
Supervisor and client or resident engineer signatures on the day, closing the record with formal approval.

AI automation: type less, record better

Nobody on site has time to write. CoPres uses AI so recording the day takes seconds and the text reads clear and professional.

AI drafting turns a quick note (“second-floor slab poured, 12 m³, no issues”) into a well-written paragraph for an entry, a correction or a comment—and you can ask for tweaks like “shorter” or “more formal”. With voice dictation you speak and AI transcribes, ideal with gloves on or right at the work front.

From the CoPres AI Assistant you can also ask “Do it for me” to record an entry in today’s log: it shows a preview and only publishes once you confirm. The day’s weather is recorded automatically from the project’s city, or set by hand.

  • AI-assisted drafting of entries, corrections and comments.
  • Voice dictation with automatic transcription.
  • Recording from the CoPres AI Assistant with preview and confirmation.
  • Automatic daily weather from the job location.

Many users, one record

The log is teamwork: the site engineer, quality inspector, storekeeper and project manager each contribute. In CoPres everyone writes on the same workday, every entry shows who published it and when, and the supervisor and client or resident engineer sign the day from their own user.

Account roles define who can publish and sign; the read-only role views the log without changing it—perfect for management or the client. Parallel versions and photos sent over chat that never reach the report disappear.

  • Author and time on every entry: full traceability.
  • Supervisor and client or resident engineer signatures.
  • Roles: who publishes, who signs and who only views.
  • Comments and corrections visible to the whole team.

From any internet-connected device

CoPres runs in the browser—nothing to install. The site engineer records from a phone at the work front, the engineer reviews on a tablet during the walk-through and management checks on the office computer, all on the same cloud data.

Photos upload on the spot from the phone camera, and the day’s report exports to PDF when needed. Without signing in, the log works in local mode on that device; once you sign in, today’s entries are uploaded to the project’s cloud.

A log connected to the rest of the job

Entries are tagged with estimate activities, site materials, workers, contractors and suppliers from your Library. Entries tagged with an activity show up in Progress tracking by activity, next to budgeted and executed values: progress stops being just a number and gets evidence.

Frequently asked questions

What is a digital construction daily log?
It’s the job’s official daily record (personnel, activities, materials, photos, incidents, commitments and signatures) kept on a cloud platform instead of a notebook. In CoPres each day opens, is completed during the shift and closes automatically at midnight.
Can several people write in the same log?
Yes. All users with permission publish on the same workday and each entry shows its author and time. The supervisor and client or resident engineer sign the day, and the read-only role can view without changing anything.
How does AI help with the daily log?
AI drafting turns a short note into clear text for an entry, correction or comment; with voice dictation you speak and AI transcribes. From the CoPres AI Assistant you can also ask “Do it for me” to record an entry, with a preview before confirming. AI features require signing in.
Can a published entry be corrected?
Entries aren’t edited, so the record stays trustworthy. You publish a correction linked to the original entry, and you can also add comments.
Do I need to install an app?
No. CoPres runs in the browser of any internet-connected phone, tablet or computer. Photos upload from the phone camera and the day exports to PDF.
